HOW IT WORKS · WALKTHROUGH 2 OF 6
Roles: who signs, approves, reviews and gets a copy
Not everyone who takes part signs. Each role has its own moment and leaves its own trace.
Sketch of the screen, not a capture. Screen labels appear exactly as the product shows them.
Give each person a role
In Prepare, under What this person does, Ana sets four roles: Legal approves, Pepe signs, Sofi reviews and Management gets a copy.
Approving goes first
Nobody can sign until Legal approves. Legal reads the document and presses Approve, or I do not approve it and then the document ends. Legal has no place to sign and the PDF does not change.
Approve
I do not approve it
Then the signer
While Legal has not approved, Pepe's link says so and he is told by email when he can sign. Once Legal approves, he signs as in walkthrough 1.
Before anyone signs it, this document has to be approved by Legal. We will let you know by email when you can sign it.
Sign
The reviewer reads, and nobody waits for her
Sofi gets her link as soon as the document goes out. She reads the document and, once the last page has been in view, confirms “I have read it”. She can also leave a note for the sender, and only the sender sees it, in Follow up. She never signs and never holds up anyone else's turn.
The copy arrives at the end
Management is not part of the circuit while it runs. When the document is complete, an email brings the signed PDF and the completion report. Nothing was asked of Management.
What stays: every role in the record
The completion report lists the approval first and then the signatures, in the order they happened, and each act has its time in the evidence record. People who only reviewed or got a copy appear as participants with their role, with no signature.
