People and employment.

Contracts, payslips and policies across working life.

October 20266 min read

The employment relationship produces documents from before the first day until after the last: offers, contracts, amendments, internal policies, payslips, leave requests, performance reviews, disciplinary measures, separation agreements. There are many of them, they repeat with every employee and, when a conflict arises, they are reviewed one by one. It is an area where good signing practice saves time every day and prevents problems on the day it matters.

The employment life cycle

  1. Onboarding. Offer, contract, sworn statements, acceptance of policies.
  2. Employment. Payslips, changes in terms, leave, training, performance reviews.
  3. Special situations. Warnings, disciplinary measures, agreements.
  4. Departure. Resignation or dismissal, final settlement, certificates of employment.

An unequal relationship

Labor law starts from the recognition that the parties are not on equal footing. That has consequences for signatures. A document signed by an employee carries more weight when it can be shown that they had access to it, time to read it and freedom not to sign it. A payslip accepted with a click inside a mandatory portal, with no copy for the employee, is easy to challenge.

In an unequal relationship, the best signature is the one that shows the other party was able to read, understand and decide.

What to distinguish

ActionMeaningRecommended evidence
Acknowledgment of receiptThe person received and viewed the document, without accepting its content.Delivery, opening and version.
AcceptanceThe person accepts a policy or condition. The exact text accepted and the time.
Contract signatureBoth parties become bound.Verified identity, signatures of both parties, a copy for each.

Mixing up these actions is a common mistake: asking someone to "sign" a disciplinary notice when all that is needed is proof that they received it can provoke an unnecessary refusal, when proof of delivery would have been enough.

Good practices

Onboarding done right

A new hire receives their offer by email, accepts it and fills in their details. They verify their identity with their identity document. They receive the contract and policies, with time to read them, sign the contract and accept each policy separately. The company signs through its representative. In the end, the employee has a folder with everything, and the company has a complete, verifiable case file.

Key points

The employment relationship generates documents throughout its life cycle. Because it is an unequal relationship, the evidence must show access, time and freedom to decide. Distinguish acknowledgment of receipt, acceptance and signature, always give the employee a copy, and respect each country's rules and time limits.
